How to disconnect your accounts and delete your data
Last updated: 17 October 2026 Version: 1.3
This page explains, step by step, how to disconnect your Google, Microsoft and WhatsApp Business accounts from Genki, what we delete in each case, how to delete the files the assistant has worked with and how to delete the whole account. Nothing described here requires writing to us or waiting for anyone to process it. The legal detail is in sections 12 and 13 of the Privacy Policy.
1. Disconnecting an account from Genki
- Open Connections in the side menu and go to the Native tab.
- On the Google, Microsoft or WhatsApp card, press Delete and confirm.
If you signed in a while ago, Genki may ask you to identify yourself again before disconnecting. And if Google or Microsoft is your only way into Genki, it will ask you to set a password first, so that you do not lose access to your account.
What happens when you disconnect each one:
- Google: we delete the access credentials from our systems and also revoke the permission with Google. We cancel the notification subscriptions it had open —the Gmail watch and the Calendar and Drive channels— and remove from your agents the triggers that depended on them. We also delete whatever had been synchronised from Google Drive into your collections —the files, the extracted text and their indexes—; the collections remain, with whatever you uploaded yourself.
- Microsoft: we delete the credentials and whatever had been synchronised from OneDrive, and cancel the notification subscriptions for Outlook, the calendar and OneDrive with your agents' triggers on them, as with Google. Microsoft does not allow Genki to cancel on its own the permission you granted: it will remain in your Microsoft account until you withdraw it yourself (section 2).
- WhatsApp: we delete the credentials of the WhatsApp Business account, its identifier and the authorised numbers, the kept messages of that account's conversations — the ones received by your agents and the ones sent from Genki, which are deleted on their own after 90 days in any case — and we remove the WhatsApp triggers from your agents; if you connect it again, you will have to add them again. Genki also unsubscribes from that account's notifications, so messages arriving at your numbers are no longer processed. Meta does not allow Genki to cancel on its own the access your business gave it either: it will remain in your business settings until you remove it (section 2).
If your account belongs to an organisation, what is deleted is what was synchronised into your private collections: whatever you synchronised with that account into a shared collection stays there until the owner or an admin removes it. And if you are the owner or an admin, the organisation's central account is disconnected from Organization → Central account; disconnecting it does not delete what was synchronised with it into the organisation's collections. The detail is in section 3.6 of the Privacy Policy.
In all three cases, whatever depended on that account —agents, scheduled tasks, tools— can no longer use it. Your Genki account and the rest of your content are left untouched: so is whatever you asked the assistant to copy into a collection, which stays like what you uploaded yourself, and so are the files it had already brought from that account into a chat or an agent, which are deleted as explained in section 3.
2. Withdrawing access from the provider itself
You can also withdraw Genki's access from the provider. With Microsoft and with Meta this step is not redundant: it is the only way for the permission to stop appearing there.
- Google: at myaccount.google.com/permissions, choose Genki and remove its access.
- Microsoft: for a personal account, at account.live.com/consent/Manage; for a work or school account, at myapps.microsoft.com, from the options of the Genki application. On a work account, that permission may be managed by your organisation's administrator.
- WhatsApp: in your business settings at Meta, business.facebook.com/settings/whatsapp-business-accounts, choose the WhatsApp Business account and remove Genki.
What Genki does afterwards: today, with none of the three, does it delete anything on its own. The connection stops working, but its credentials —which no longer work— stay in our systems and what was synchronised stays in your collections; with WhatsApp, the account identifier, its numbers and your agents' triggers stay as well. To have it deleted, also disconnect the account from Genki (section 1).
3. Deleting the files the assistant works with
When the assistant works with a file —a document or an image you attach to a chat, or that it brings in from Gmail, Outlook, WhatsApp, Drive or OneDrive to read it, save it somewhere else, fill it in or send it—, Genki keeps two things: the original, encrypted, and its extracted text; for an image, the text read from it. The filled-in copies the assistant prepares are new files and are deleted the same way. The detail is in section 3.5 of the Privacy Policy.
| What you do | What we delete | When |
|---|---|---|
| Nothing | The original | After 7 days from when it came in, at most. The text stays while the file remains attached |
| Remove the attachment from a chat, with the × next to it in the message bar | The original and the text, unless the file is still attached to another chat or to a run of an agent | Right away |
| Delete the chat | The same, with all its attachments | Right away |
| Delete an agent or a task | The files its runs brought in, on the same basis | Right away |
| Close your account | Every file, with its original and its text | On the day the closure runs (section 4) |
If something prevented an original from being deleted at that moment, an automated process tries again later, and the 7-day period applies anyway. Disconnecting a provider does not delete the files already brought in from it: they stay attached where they were until you do one of the things in the table.
The copies you asked for are not deleted with the file, because they are something else by then:
- What you saved to your Library is a document in that collection: delete it from the collection, or delete the whole collection.
- What you uploaded to your Drive or your OneDrive is in your account with that provider, and is deleted there. Genki does not touch it when you disconnect the account or close yours.
- What you sent by email or WhatsApp is with whoever received it, and stays in your email's sent items or in the WhatsApp conversation. Genki cannot delete it.
4. Deleting the whole account
- Open Account.
- At the bottom of the page, press Cancel account and confirm by typing your email address.
The closure takes effect at the end of the billing period already paid. The application shows you the exact date, and until then you can change your mind. On that day we delete all your content —including the files the assistant worked with, with their originals— and your user record, close the channels through which your agents received notifications and revoke the permission with Google. Only your invoices and the security logs are kept, as the law requires, for the periods in section 12 of the Privacy Policy. The permission granted to Microsoft or to Meta remains with those providers until you withdraw it (section 2).
If your account belongs to an organisation, Account shows Leave the organization instead of Cancel account. Leaving closes it at once, and what was yours is deleted at the end of the period the organisation has paid for; until then, the owner or an admin can undo the departure. Whatever you shared in the organisation stays with it. The owner does not leave: they close their account by dissolving the organisation, from Organization, and then choose whether to keep it as a personal account. The detail is in section 3.6 of the Privacy Policy.
5. If you prefer to ask in writing
Write to privacy@genki.digital. We will answer within one month, extendable by two further months for complex requests, in which case we will let you know. We may ask you to prove your identity, without asking for more data than needed to do so.
If you are not a Genki user —for example, you wrote to the WhatsApp number of a business that uses Genki—: Genki keeps the messages it receives through WhatsApp for 90 days, encrypted, together with the replies it sends, so that the business's agent knows what was said before; after that they are deleted on their own, and sooner if the business unlinks WhatsApp from Genki. What also remains of each run is what the agent replied and the record of what it did, which are deleted with the agent and with the account. If your message carried a document or a photo and the agent opened it, it is kept for the periods in section 3. If you want your messages deleted sooner, ask the business you wrote to, which is the one that answers for that conversation, or write to the same address, and first read section 4 of the Privacy Policy, where we explain how far what we can do reaches.
